Financial Transaction Service (FTS) for Payments Journals

The Payments module allows Employees to create their purchase and payment requests (Requisition and Vouchers: Direct Payments and Employee/Student Reimbursements) and submit for their departments for the approvals and clearances.

The Budget Journals modules allows transferring the expenses from one chartfields to another where both are under control, and also one chartfileds under control and another is outside under control.

This helps one department to pay another department for products and/or services you received. You would be the Pay or and the department you are paying would be the Payee.

Here we can also setup approval structure to review and approve the expenses and transfer of budget journals.

Financial Transaction Service (FTS) for payments and Journals application is used for the University Campus, Institutions, and Colleges to automate the processing of their different kind of payment requests and their approvals to the account department, and transfer of different kind of expanses & budgets from one department to another.

You can subscribe to an AWS Marketplace product and launch an instance from the product's AMI using the Amazon EC2 launch wizard.

To launch an instance from the AWS Marketplace using the launch wizard
  • Open the Amazon EC2 console at https://console.aws.amazon.com/ec2/
  • From the Amazon EC2 dashboard, choose Launch Instance.
    On the Choose an Amazon Machine Image (AMI) page, choose the AWS Marketplace category on the left. Find a suitable AMI by browsing the categories, or using the search functionality. Choose Select to choose your product.
  • A dialog displays an overview of the product you've selected. You can view the pricing information, as well as any other information that the vendor has provided. When you're ready, choose Continue.
  • On the Choose an Instance Type page, select the hardware configuration and size of the instance to launch. When you're done, choose next: Configure Instance Details.
  • On the next pages of the wizard, you can configure your instance, add storage, and add tags. For more information about the different options you can configure, see Launching an Instance. Choose Next until you reach the Configure Security Group page.
  • The wizard creates a new security group according to the vendor's specifications for the product. The security group may include rules that allow all IP addresses (0.0.0.0/0) access on SSH (port 22) on Linux or RDP (port 3389) on Windows. We recommend that you adjust these rules to allow only a specific address or range of addresses to access your instance over those ports.
  • When you are ready, choose Review and Launch.
  • On the Review Instance Launch page, check the details of the AMI from which you're about to launch the instance, as well as the other configuration details you set up in the wizard. When you're ready, choose Launch to select or create a key pair, and launch your instance.
  • Depending on the product you've subscribed to, the instance may take a few minutes or more to launch. You are first subscribed to the product before your instance can launch. If there are any problems with your credit card details, you will be asked to update your account details. When the launch confirmation page displays

FTS for payments and Journals is a web based application which is developed in Microsoft Technologies (ASP.NET with Visual C#) and Microsoft SQL Server is used as backed database.

FTS for payments and Journals is deployed on Internet Information System (IIS) and compatible with all the most commonly used web browsers (Internet Explorer, Firefox, Chrome, Mozilla etc).

User authentication can occur via private user accounts using the form based authentication from its SQL server database. The email communication is handled by SMTP settings within the application itself.

Limitations

  • FTS for Payemnts & Journals is web based application that can be run and compatible with all the most commonly used web browsers (Internet Explorer, Firefox, Chrome, Mozilla etc).
  • Since this is a web based application which is using IIS, and SQL Server, so first time this may take 15-30 minutes to be opened just after launching the instance of the application.

Usage / Deployment Instruction

Open the URL:http://<instance ip address>

<instance ip address> : IP address of the running EC2 instance.

Initially when you type the IP address of the running EC2 instance in the address bar of the browser, This will show you the SetupAdminUser.aspx page (http://<instance ip address>/ SetupAdminUser.aspx) by default, here you have to create the initial user for the FTS login, and that user will have admin rights for the FTS.

Fields on SetupAdminUser page

User Name: Please fill any alpha-numeric value as per your choice

Operator ID: Please fill any numeric value up to 9 digits as per your choice

Password: Please fill any alpha-numeric value upto 10 characters as per your choice

Once initial user is created, you will be redirected to altLogin.aspx page and here you have to enter the user credentials (Operator ID and Password) that you have added in earlier step.

Once user credential is authenticated, you will be redirected to ChangeUserData.aspx page (As shown below), and here you have to provide an Email Id and Phone Number to receive the email notifications from the application.

Note: The Email Id and Phone number will be stored in the application instance only, and required for sending the email notifications as per its functionality.

Here you can also change your Password from this screen.

Once you click on Submit button you will be redirected to FTS Dashboard, and now you will be able to use the application functionality start from here.

You can click on Exit button from the top menu to logout and exit the application.
